How should you respond to a bad Google review?

Reply within a day, in public, briefly. Acknowledge the specific thing that went wrong, say what you changed, and offer to continue offline. You are not writing to the reviewer - you are writing to the next customer reading it, and increasingly to a model summarizing your reputation.

The structure

One sentence acknowledging the specific complaint, in their words not yours. One sentence on what you did about it. One line inviting them to contact you directly. Stop there.

"That's on us - we ran long on the job before yours and should have called. We've changed how the dispatcher handles overruns." That is the whole reply, and it does more for you than the review costs.

What not to do

Do not argue the facts, however wrong they are. Do not mention how many other customers are happy. Do not write four paragraphs - length reads as defensiveness. Never mention the reviewer's personal details.

Do not offer a refund publicly. Take it offline.

Why it matters more now

When an assistant characterizes a business as responsive or dismissive, it is summarizing review text and replies. An unanswered one-star sits there as the only account of the event. Your reply is the counterweight.

The upside nobody expects

A well-handled complaint is more persuasive than a five-star review, because it shows what happens when things go wrong. That is the actual question in the reader's mind.

The short version

  • Reply within 24 hours, in three sentences
  • Acknowledge, state the change, move it offline
  • Never argue the facts in public
  • A good reply outperforms a perfect record

Should I reply to positive reviews too?

Yes, briefly. Name the service - it adds relevant text to your profile.

What if the review is from someone who was never a customer?

Reply factually and report it. Both, not one or the other.

Does replying change the rating?

No, but it changes how the rating is read.
