How do AI assistants decide which business to recommend?

Roughly five steps: the assistant rewrites your question into structured needs, pulls candidate businesses from search and map data, checks whether their facts agree across sources, looks for evidence of quality in reviews, then writes a sentence it can defend. You can be dropped at any of the five.

Step one: your question gets rewritten

"Someone good for my leaking heater tonight" becomes a set of requirements: emergency water heater repair, after hours, near this location, price transparency. Everything downstream matches against those requirements, not your keywords.

Step two: candidates get pulled

From live search results, map data, directories, review sites, and what the model absorbed during training. If you are absent or thinly represented in those sources, the shortlist is built without you and nothing later can rescue it.

Step three: the facts get cross-checked

Hours, address, phone and services are compared across sources. Contradictions are treated as unreliability. This is why entity consistency, which feels like admin, is one of the highest-leverage things you can fix.

Step four: quality gets assessed

Review count, recency, rating and - importantly - what reviewers actually say. "Arrived in two hours during a heat wave" is worth more to a model than a fifth star with no text attached.

Step five: a defensible sentence gets written

The model prefers businesses it can say something concrete about. Publish your call-out fee, your response window and your service area, and you have handed it the sentence.

The short version

  • Five steps: rewrite, retrieve, verify, assess, compose
  • Being absent at step two cannot be fixed at step five
  • Contradictory data reads as unreliability
  • Specifics on your own site become the wording of the recommendation

Is this the same for every assistant?

The details differ, but the sequence is broadly the same and they draw on overlapping sources.

Steps two and three - not being retrievable, and having facts that disagree.

Does my website matter if my profile is strong?

Yes. The profile gets you retrieved; your site supplies the specifics that get quoted.
